The Georgia Department of Behavioral Health and Developmental Disabilities (DBHDD) is the state agency that focuses solely on policies, programs, and services for people with mental health challenges, substance use disorders, intellectual and developmental disabilities, or any combination of these. As Georgia’s public safety net, DBHDD operates six field offices and five hospitals throughout the state within three program areas: behavioral health, developmental disabilities and hospital services.

The main office for DBHDD is located in downtown Atlanta.

Job Description

Job Title: Administrative Assistant- Office of General Counsel

Pay Grade: H

Job Summary:

The Administrative Assistant provides comprehensive administrative and clerical support to the Office of General Counsel, including the General Counsel and staff members. This role demands a highly organized and detail-oriented individual capable of managing a variety of tasks in a fast-paced environment.

Key Responsibilities:

  • Administrative Hearings: Process requests for administrative hearings before various bodies, including the Office of State Administrative Hearings (OSAH), the State Personnel Board, EEOC, and GCEO.
  • Correspondence and Communication: Manage incoming and outgoing mail, address IT and phone issues, and facilitate effective communication within the department.
  • Financial and Administrative Tasks: Process bill payments, maintain accurate leave records, and ensure the department is well-stocked with necessary supplies.
  • Scheduling and Coordination: Arrange appointments, schedule meetings, and process travel requests for the legal team.
  • Reporting and Documentation: Generate and maintain Office Performance Reports, demonstrating proficiency in Excel, Word, and PowerPoint.

Preferred Qualifications:

  • Bachelor's degree or three years of relevant work experience.
  • Prior legal administrative experience, ability to thrive in a fast-paced environment, strong prioritization and organizational skills, exceptional customer service, and familiarity with office management software. Familiarity with Kronos, Concur, and PeopleSoft a plus.

High school diploma/GED and two (2) years of experience in a legal setting using computer software; or Two years of experience in an office setting using computer software; or one (1) year of experience required at the lower level Legal Secretary 1 (LET020) or position equivalent.
