Conference Coordinator

The Technical College System of Georgia’s (TCSG) Office of Workforce Development Event Planner/Conference Coordinator is responsible for scheduling, planning, and coordinating meetings and other customized events in conference centers and similar locations across the State of Georgia. This hybrid role will be based in Atlanta through the Office of Workforce Development and WorkSource Georgia.
RESPONSIBILITIES
· Schedules and oversees implementation of meetings, job fairs, and other customized events
· Works with the OWD team to plan, develop, and execute outreach efforts to build awareness for events
· Establishes and maintains detailed records of all event information
· Build relationships with appropriate vendors and partnering organizations
· Ensures supplies are available to support activities
· Assists in the operation and/or set-up of audio/visual equipment as needed
· Coordinates equipment installation or repairs
· Coordinates and/or supervises the set-up of meeting rooms and event space(s) for special functions
· Prepares and submits quotes, billing invoices and maintains records
· Contacts sensitive or problem accounts to reach resolutions; and
· Other duties as assigned.
MINIMUM QUALIFICATIONS
· Bachelor’s degree *and* two (2) years of work-related experience
· Note: Experience may substitute for the degree on a year-for-year basis
PREFERRED QUALIFICATIONS
· Knowledge of the federal workforce development programs, such as Workforce Innovation & Opportunity Act (WIOA).
· Experience with State of Georgia budgetary and procurement practices
· Experience in state or local economic development and/or workforce development.
· Knowledge of state and federal regulations.
· Experience working with collaborative partners.
TECHNICAL COMPETENCIES
· Knowledge of event planning and coordination
· Knowledge of marketing and communication outreach principles
· Knowledge of budget preparation procedures and techniques
· Knowledge of purchasing and billing practices specific to area of assignment
· Knowledge of applicable laws, rules, and regulations, such as safety, compliance, security, and public assembly regulations
· Skill in the operation of computers and job-related software programs
· Skill in operation of basic office systems
· Basic knowledge of audio/visual equipment
· Decision making, time management and problem-solving skills
· Oral and written communication skills
· Ability to multitask and organize
· Skill in interpersonal relations and in dealing with the public
