This position performs Sr Office Assistant duties and responsibilities for the Measurement, Controls, and Real Time Systems Support groups.

Education / Experience:

  • Proven admin or assistant experience.

  • Knowledge of office management systems and procedures.

  • Excellent time management skills and ability to multi-task and prioritize work.

  • Attention to detail and problem-solving skills.

  • Excellent written and verbal communication skills.

  • Strong organizational and planning skills.

  • Proficient in MS Office – Excel, Power Point, Word & Outlook.

  • High school diploma or equivalent; college degree preferred.

  • Ability to effectively communicate via phone and email ensuring that all Sr Office Assistant duties are completed accurately and delivered with high quality and in a timely manner.

Job Responsibilities:

  • Supports managers and employees through a variety of tasks related to organization and communication.

  • Become proficient with a variety of the department's tools, concepts, practices, and procedures.

  • Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected.

  • Manage Director’s calendar; resolve conflicts.

  • Enter expense reports on behalf of managers; Reconcile expense reports.

  • Enter time reports on behalf of managers, make time entry adjustments as necessary.

  • Review team’s time entry each pay period and lock in.

  • Manage travel arrangements for managers.

  • Assemble weekly reports, quality check, and distribute.

  • Provide polite and professional communication.

  • Support new hire processes, including scheduling interviews, ordering equipment, requesting new accounts.

  • Support termination access removal processes.

  • Organize and schedule appointments and meetings.

  • Maintain contact lists.

  • Handle multiple projects.

  • Greet and assist visitors to the office.

  • Provide information by answering questions and requests.

  • Research and create presentations.

  • Prepare and monitor invoices.

  • Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.

  • Order office supplies: Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.

  • Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.

  • Write letters and emails on behalf of other office staff.

  • Book conference calls, rooms, transportation, couriers, hotels, etc.

  • Maintain computer and manual filing systems.

  • Handle sensitive information in a confidential manner.

  • Take accurate minutes of meetings.

  • Coordinate office procedures.

  • Reply to email, telephone, or face to face inquiries.

  • Receive, sort, and distribute the mail.

  • Photocopy and print out documents on behalf of other colleagues.

  • Produce and distribute correspondence memos, letters, faxes, and forms.

  • Develop and update administrative systems to make them more efficient.

  • Contribute to team effort by accomplishing related results as needed.

  • Resolve administrative problems.

  • Maintain up-to-date employee holiday records.

  • Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.

Additional Information

  • United States citizenship is required.

  • This position is in the company’s Insider Threat Program

  • This position requires infrequent (up to 5%) travel to office locations.
