Summary/Objective

The Maintenance Clerk supports the maintenance department by managing spare parts inventory, coordinating with vendors, and assisting with preventive maintenance (PM) activities. This role requires a basic understanding of maintenance equipment and terminology, strong organizational skills, and the ability to track, document, and follow up on maintenance-related activities to ensure efficient plant operations.

Essential Functions

Spare Parts & Inventory Management

  • Maintain accurate records of spare parts inventory, including receiving, issuing, and stock levels
  • Monitor minimum/maximum stock levels and initiate replenishment requests
  • Organize spare parts storage areas for easy identification and access
  • Track usage of critical spare parts and report shortages or obsolescence
  • Assist in cycle counts and physical inventory audits

Vendor & Purchasing Coordination

  • Coordinate with approved vendors for spare parts, tools, and maintenance supplies
  • Request quotations, prepare purchase requisitions, and follow up on orders
  • Track delivery status and ensure timely receipt of materials
  • Maintain vendor records, pricing, and lead-time information
  • Communicate with vendors regarding returns, discrepancies, or urgent needs

Preventive Maintenance (PM) Management

  • Assist in maintaining PM schedules in the CMMS or maintenance tracking system
  • Generate PM work orders and ensure they are issued on time
  • Track PM completion status and follow up with maintenance technicians
  • File and maintain PM records, checklists, and historical data
  • Report on overdue or missed PM activities to maintenance supervision

Equipment & Maintenance Support

  • Maintain basic equipment records, including asset lists and documentation
  • Assist in updating equipment manuals, drawings, and service records
  • Support maintenance planning by preparing work order documentation
  • Coordinate maintenance-related paperwork and data entry

Administrative & Reporting Duties

  • Enter maintenance data accurately into CMMS or spreadsheets
  • Prepare basic maintenance reports (PM compliance, spare parts usage, vendor performance)
  • Support audits and inspections by providing maintenance documentation
  • Maintain organized filing systems (digital and hard copy)

Essential skills and qualifications

  • High school diploma or equivalent (technical or vocational training preferred)
  • Basic understanding of industrial or facility equipment and maintenance terminology
  • Experience with inventory control or spare parts management preferred
  • Familiarity with CMMS systems or maintenance tracking tools is an advantage
  • Basic computer skills (MS Excel, Word, email)
  • Strong organizational and record-keeping skills
  • Ability to communicate effectively with technicians, supervisors, and vendors

Supervisory Responsibility

This position has no supervisory responsibilities.

Work Environment

This job operates in a manufacturing environment where the worker may be exposed to noise, dust and some chemicals, requiring the use of appropriate personal protective equipment including safety glasses, hearing protection, and steel toe shoes. The role routinely uses standard office equipment such as computers, phones, and copiers.

Physical Demands

While performing the duties of this job, the candidate is regularly required to talk, sit, walk, stand, and hear. The candidate will be required to reach out and overhead with hands and arms, and perform repetitive hand actions – grasping, push/pull, and fine manipulations. The candidate will be required to bend, stoop, kneel, lift up to 20 lbs., and push/pull with entire body weights up to 50 lbs. The candidate must be able to climb up and down steps frequently. Specific vision abilities required by this position include color vision, close vision, distance vision, and peripheral vision.

Position Type and Expected Hours of Work

This is a full-time position. Days and hours of work are typically Monday through Friday 8:00 AM to 4:00 PM. Weekend and overtime may be required as job duties demand.

Travel
This position requires no travel.

Required Education and Experience

  1. High School Diploma / GED
  2. Administrative support or clerical experience
  3. Proficiency in Microsoft Office usage
  4. Inventory experience preferred.
  5. Prior experience with CMMS software.
