SUMMARY:
This role provides daily operational and administrative support to the Procurement Division, working closely with Purchasing, Quality Assurance, and other departments. It supports buyers, suppliers, material control, finance, and QA by coordinating purchasing activities, maintaining accurate records, and ensuring smooth communication.
Responsibilities
RESPONSIBILITIES:
- Tasks include generating, processing, analyzing data (daily, weekly, monthly) which may include part cost tracking by reason, supplier on-time delivery, request for quotation status, overall supplier performance.
- Handling PR/PO creation, updates, cancellations, and supplier correspondence
- Responding to internal and external inquiries
- Managing supplies, related accounts, and routine purchasing tasks
- Running, updating, generating, and maintaining reports across systems such as SAP, QAD, QPD, Smartsheet, YINSPIRE, PYMAC, Power BI, and Excel
- Supporting audits and quality documentation, including JSOX
- Helping reduce operational issues through consistent tracking and follow‑up.
- Overall, the role blends administrative work with core procurement and quality operations to keep processes accurate, compliant, and running smoothly.
- General Administrative Support
- Supply orders and inventory management.
- Meal orders and coordination for special events
- Email distribution list maintenance.
- Procurement Administrative Functions
- Daily RFQ report
- Cost registration report
- RFQ past-due monitoring and weekly tracking
- Administrative dashboard updates
- Ability to prepare materials and presentations using PowerPoint is necessary.
- Other responsibilities with the needs of the specific job and special projects as required.
Qualifications
QUALIFICATIONS:
- Must have good organization and communication skills.
- Experience in Purchasing and Materials preferred.
- MRP and BOM experience preferred.
EDUCATION AND EXPERIENCE:
- High school diploma or equivalent.
- 1-2 years administrative experience in a fast-paced manufacturing environment.
- Strong computer skills including Word, PowerPoint, Access, and Excel.
